Job Opening: Director of Finance and Administration

The Director of Finance and Administration provides input into the organization’s strategic direction from an operational and financial perspective. The Director designs and implements systems for financial management (budgeting and forecasting), grants management, expense tracking, and accounting. The Director leads the negotiation of contracts for personnel benefits, office space, and other key vendors, and oversees management of staff payroll and benefits. The Director also supervises a small operations team responsible for staff support and training, office operations, technology, information management, and other administrative needs.

Essential Duties:

Human Resources

  • Human Resources Management/Staffing:
    • Serve as the human resources point of contact for PK staff
    • Administer annual staff review program
    • Facilitate staff training opportunities
    • Coordinate staff gatherings and retreats as part of a team
    • Evaluate existing and potential new policies and benefits, and coordinate their implementation processes
    • Manage and update HR files, including job descriptions
    • Perform and manage hiring and exiting processes
  • Benefit Plans: Administer 401(k), health insurance and other benefits
  • Payroll: Administer and update payroll
  • Compliance: Supervise compliance with applicable laws and procedures

Financial Management

  • Lead the development of the annual budget; monitor budgets and financial indicators; provide fiscal oversight as applicable
  • Oversee the work of an outsourced accounting firm
  • Ensure accurate financial reporting internally and externally
  • Ensure timely payment of bills and payroll
  • Manage cash flow and reserve fund
  • Staff the finance and audit committees of the board
  • Lead the organization through its annual audit

Oversee all administrative functions of the organization

  • Oversee the work of the outsourced IT company and ensure that the organization is using technology effectively to advance its goals
  • Ensure leases, licenses, permits, etc. are all up to date
  • Supervise staff and consultants for operations, financial administration, and human resources
  • Implement the recruitment, hiring, and onboarding process for direct reports and consultants
  • Implement document management system; manage Public Knowledge’s facilities as necessary

Serve as a member of PK’s leadership team

  • Help shape PK’s strategic direction
  • Lead the planning and goal setting process for administrative, financial, and human resources work
  • Represent PK externally when appropriate
  • Facilitate Board communications and preparation for Board meetings


  • Bachelors’ degree
  • A minimum of five years of non-profit management experience overseeing multiple administrative departments
  • Experience directing budgeting and accounting
  • Excellent written and interpersonal communications skills
  • Demonstrated high degree of confidentiality and judgment
  • Experience and understanding of benefits policies, budgeting processes, employment law and policies, and policy development, documentation, and implementation
  • Ability to work independently and as part of a team, and to meet deadlines
